How to Get Better Meeting Summaries on a Mac

A useful meeting summary starts with the right audio source and ends with decisions, owners, and open questions—not a wall of generated text.

The best meeting summary is usually not the longest one. It is the one you can scan the next morning and use without replaying the whole call.

On a Mac, the first decision is not which summary prompt to use. It is which audio you actually need, and whether you are starting live or from a recording that already exists.

Capture the right conversation

Voxt has three meeting audio modes for different situations. Meeting mode captures system audio and your microphone. Captions mode follows system audio. Recording mode focuses on microphone input.

Choosing the smallest useful source set helps keep the transcript understandable. If you only need to follow a presentation, system audio may be enough. If the discussion includes your own voice and the other participants, Meeting mode is the more complete choice.

You can also import an audio or video recording after the fact. That is handy for an interview, a class, a product demo, or a call recorded by another tool.

Give the transcript something to work with

Summaries cannot recover words that were never clear in the recording. Before an important meeting, I would do the boring checks:

  • Put the microphone in a sensible position.
  • Avoid playing the meeting through a distant speaker if headphones are available.
  • Check that the correct audio source is selected.
  • Run a short test if the call has unusual audio routing.

Speaker labels and timestamps can be very helpful, but they are not a replacement for clean audio. Names, product terms, and overlapping speech still deserve a review.

Ask for the work, not the transcript

“Summarize this meeting” is a fine starting point, but it is often too vague. A better follow-up asks for the pieces you will actually use:

  • What was decided?
  • Which action items have an owner?
  • What is still unresolved?
  • What changed from the previous plan?
  • Which risks or dependencies were mentioned?

That turns the meeting result into a working note. You are not asking the model to make the meeting sound impressive. You are asking it to help you pick up the thread later.

Keep the source close to the summary

The summary should not be the only thing you keep. When a decision matters, check the transcript and the timestamp around it. If the speaker label looks uncertain, correct it before forwarding the note.
